Context

The city of Vanves, with 28,000 inhabitants, located in the very near suburbs of Paris (92), and part of a Territorial Public Establishment GPSO actively grouping 8 towns with nearly 320,000 inhabitants in total, strives to provide quality public services to its citizens. To support this goal, the Information Systems Department (DSI) of Vanves, although modest in size, plays a crucial role in managing and optimizing the city's IT and application infrastructures.

The DSI of the city of Vanves, is responsible for ensuring the proper functioning and adequate documentation of the city's information systems. Given the small size of his team, the issues are numerous and sharing information is essential for effective management.

"In a small, high-quality team like ours, it is imperative that we formalize and share our repository to maintain continuity and efficiency in our professions," said Thierry.

Problem

One of the major challenges Thierry faced was contract management. Contract details were too often stored in emails or Excel files, or in the Finance IT system, making it difficult to share information and increasing the risk of missing important contractual deadlines and managing the application portfolio consisting mainly of 50 business software packages.

Moreover, although Shadow IT is generally less present in local authorities, Thierry realized that some business applications escaped the DSI's knowledge, causing security and compliance issues, including for GDPR within business services.

"We needed a 'simple & living' 'auto-discover' style solution that would allow us not only to centralize our documentation, including contract details, costs, deadlines, commitments, but also to provide better visibility into the TCO of the applications and the number of associated users. Especially with SaaS applications also to discover and manage business applications that could operate outside the DSI's surveillance."

Solution

Upon discovering Kabeen, Thierry found a simple and effective solution that perfectly met the specific needs of the city of Vanves.
